Conditions of hire

These conditions of hire apply to the use of our unstaffed community venues by all hirers.

The City of Sydney aims to provide the local community with a variety of venues that are well maintained and accessible.

We ask that you read and understand these conditions of hire to ensure your use of our community venues runs smoothly, is safe and complies with the City of Sydney’s regulations.

These special conditions apply to Sydney Park Pavilion bookings for coming of age birthday celebrations (ages 12 to 25), high school functions and other events that we consider ‘high risk functions’.

This is to ensure safety of hirers and their guests, and to minimise the risk of damage to City of Sydney property.
1. Hirers are required to provide their own public liability insurance to cover the event. This must be to the value of $10 million. We reserve the right to cancel your booking if this is not provided to us before your event.
2. If alcohol will be served on the premises, hirers must use RSA and gold licensed staff for catering and supply of alcohol. Proof of contract and payment confirmation must be provided to us.
3. The function must be registered with NSW Police. Proof of registration must be provided to us before the event.
4. No more than 100 guests are permitted.
5. Security guards will be paid and booked by the hirer with contact details provided to us. The security contract and receipt must be forwarded to us. This will usually require 2 security guards per 100 guests.
6. All music must cease at least 30 minutes before the end of the booked event period.
7. Security staff that are hired by the hirer have the right to refuse entry of any person to the function.
8. Security staff will be instructed to remove anyone from the facility who engages in the following conduct:
  - purchases alcohol on behalf of a person under the age of 18
  - is a person under the age of 18 found to be consuming alcohol
  - any person attempting to bring alcohol into the facility who is not the hirer
  - any person found to be consuming prohibited substances.
9. Hirers are required to pack away all chairs and tables and remove all decorations at the end of the event and vacate the facility before the agreed finish time.
10. It is a requirement as part of your hiring agreement to leave the venue in a tidy and clean state, and ensure items are packed away. If cleaning is needed after the event, there will be added costs for this.
